As we scale from a small, highly technical founding team into a real company, we're looking for a Chief of Staff / Operations Manager to work directly with the founders and take ownership of the operational backbone of Cyberwave.
This is a senior or strong mid-level role with real autonomy. You will not be "support staff." You will shape how the company operates day to day and help turn chaos into leverage.
In-person team primarily based in Milan and Zurich, with real robots, real deployments, and real impact.
Requirements
- Experience operating in fast-moving startups or scale-ups, ideally with hardware, robotics, deep tech, or regulated environments
- Comfortable owning messy problems and turning them into clean systems
- Ability to operate autonomously, make decisions, and push things forward without waiting for perfect information
- Detail-oriented where it matters (finance, logistics, compliance) but pragmatic and execution-focused
- Comfortable working in English in an international, high-talent environment
- Bonus: experience with Italian corporate structures (S.p.A.), hardware logistics, or working closely with technical teams
Responsibilities
- Own and automate core operational processes required for an Italian S.p.A. (accounting workflows, invoicing, expenses, compliance, coordination with accountants and advisors)
- Improve internal reporting, budgeting inputs, and operational visibility for founders
- Plan and execute logistics for robots and hardware: shipping, customs, on-site installation, demos, hackathons, marketing events, and client pilots
- Coordinate timelines across engineering, marketing, and external partners to ensure robots show up, work, and come back safely
- Build repeatable playbooks for demos and field deployments
- Design and implement scalable processes to identify, evaluate, onboard, and manage partners (hardware vendors, software providers, integrators)
- Help formalize contracts, procurement flows, and partner lifecycle management
- Enable the engineering team by coordinating procurement of robots, sensors, lab equipment, tooling, and infrastructure
- Manage insurance, assets, and operational risk related to hardware and field work
- Be the connective tissue between engineering, business, and external stakeholders
